Flexibility and integration are key to maintaining a competitive edge. For enterprises, especially those whose operations rely heavily on document processes, ensuring these systems run smoothly is crucial. Having peace of mind that your document generation and automation tools work seamlessly is essential for efficiency and compliance.

On 12 June, during the Q&A section of our webinar with EXAH, we delved into how DocFusion’s powerful capabilities cover all the Salesforce bases – and beyond – offering solutions that adapt to various platforms and business needs.

For a deeper dive into the webinar and the solutions we discussed, you can read our detailed review and watch a recording of the webinar here.

Below are 12 key questions and answers highlighting how our advanced document generation system elevates business document processes:

1.      Question: You mentioned that DocFusion can be connected to multiple systems. Please elaborate on this and share with us how that can be done.

Answer: Yes, DocFusion can be connected to multiple systems. While we have demonstrated its capabilities within Salesforce, it’s important to understand that DocFusion is not tightly coupled to Salesforce alone. DocFusion was built with the flexibility to serve enterprises with various applications, including ERP (Enterprise Resource Planning), CRM (Customer Relationship Management), BPM (Business Process Management), and ECM (Enterprise Content Management) systems.

DocFusion functions as a central template repository and document automation engine for the entire enterprise. This means you can consolidate all your templates—whether they are legal documents, customer onboarding forms, contracts, proposals, customer statements, or communications—into one central system. This centralisation replaces the need to store templates on different systems or individual desktop PCs, which can lead to issues with governance, template changes, and version control. By consolidating templates into DocFusion, you ensure that every template is managed in a single location, maintaining consistency and governance across your organisation.

Even if you acquire DocFusion primarily for your Salesforce document automation needs, you can extend its use to other processes outside of Salesforce.

2.      Question: Can you send documents via SMS for signature to be signed on a mobile device?

Answer: DocFusion integrates with digital signature providers, which allows recipients to sign documents directly from their mobile devices.

3.      Question: Can we have dynamic fields, so that the information selected or input determines the outcome of the document?

Answer: Absolutely, DocFusion supports dynamic fields that adjust based on the information selected or input. This ensures that the generated documents accurately reflect the data and conditions specific to each scenario.

4.      Question: With regards to the template repository – For personalised financial reports and price increase notifications, etc., that differ from customer to customer, can DocFusion integrate with our existing web app and database to automatically query customer information and export it to the DocFusion document? We don’t make use of Salesforce, but have our own in-house CRM platform.

Answer: Definitely. Even if you don’t use Salesforce, DocFusion can still integrate seamlessly with your existing web app and database. DocFusion can work with a variety of systems. If your current setup sends a notification or triggers a process, DocFusion’s API can be called by your system. DocFusion can then either pull the necessary information from your database or accept data pushed to it. This flexibility allows DocFusion to generate personalised reports, like financial summaries or price increase notifications, based on your customer data.

For example, we have similar use cases in the wealth management industry where DocFusion is used to create detailed monthly portfolio reports. This shows how adaptable DocFusion is, regardless of whether you’re using Salesforce or another CRM.

5.      Question: What’s the difference between DocFusion and LawTrust document approval?

Answer: LawTrust focuses on digital authentication, digital signatures, and secure electronic communications. DocFusion supports these functionalities by integrating with digital signature providers like SigniFlow and you can easily integrate DocFusion into an approval workflow.

This allows DocFusion to handle document approval processes efficiently, where documents are reviewed (in terms of content, format, and distribution for example) before being finalised.

6.      Question: Does DocFusion allow for the use of templates and customisation, particularly for industries like insurance?

Answer: Yes, absolutely. DocFusion is designed specifically for robust template management and customisation, which was a key focus of our demo. During the demo, we showed how DocFusion allows you to design and map templates to meet the unique needs of different industries, such as insurance and banking.

DocFusion was built to provide extensive customisation capabilities, enabling you to create and tailor templates to suit specific industry requirements. Whether you need templates for complex insurance policies, banking documents, or any other specialised sector, DocFusion can handle it all efficiently.

DocFusion excels at building and customising templates, especially for industries with detailed and complex documentation needs.

7.      Question: How do I get the signed document into my Salesforce system – mapped to the record?

Answer: Integrating signed documents into Salesforce involves a few key steps that are managed through button configurations and workflows. During the demo, we briefly showed how to configure these buttons and recipes in Salesforce. Here’s how it works:

When setting up a button in Salesforce, you can select the document template and define follow-up actions. These actions can include attaching the generated document to a specific Salesforce record or sending it out for signatures.

As the signing process progresses, the system sends notifications back to Salesforce. These updates inform you when each person has signed the document, providing a clear tracking mechanism. Once all signatures are collected, the final signed document is automatically pushed back into Salesforce.

This process keeps Salesforce updated with the signing status, showing who has signed and who hasn’t. It ensures that the signed document is accurately mapped to the corresponding Salesforce record, or alternatively, it can be stored in another system as required.

8.      Question: How is DocFusion related to records management and information classification?

Answer: DocFusion is all about template management (rather than document management)—it helps you create smart, dynamic templates that can generate a variety of documents tailored to different customers. Think of it as having one flexible template that can produce customised documents for each client.

Once these documents are generated and signed, they need to be stored somewhere. While DocFusion doesn’t manage the storage itself, it works seamlessly with document management systems (DMS). After a document is created, DocFusion can send it to your DMS, where it’s stored and organised correctly.

For example, DocFusion can automatically tag the document with the right metadata and place it in the appropriate folder, making it easy to find later. This way, DocFusion handles the creation, and your DMS takes care of storage and classification.

So, DocFusion helps you generate documents, and it partners with your records management system to ensure they’re properly stored and easily accessible.

9.  Question: Does DocFusion work with different Salesforce modules like Financial Services Cloud and CPQ?

Answer: Yes, DocFusion is designed to work seamlessly with Salesforce as a whole, regardless of the module you use. Whether you’re working with Financial Services Cloud, Salesforce CPQ, Sales Cloud, or any other Salesforce module, DocFusion can cater to your specific document generation needs. This includes generating sales documents, customer financial documents, contracts, policies, and more. DocFusion’s versatility ensures that it can adapt to the unique requirements of each Salesforce module, providing a comprehensive solution for all your document processes.

10.  Question: [Posed to EXAH] As an award-winning Salesforce partner, why do you find DocFusion to be a game-changer in your Salesforce implementations? Can you shed some light on how it has impacted your projects?

Answer: Salesforce is known for its exceptionally rich automation environment, which often comes with significant complexity. When you add document generation into this mix, it can slow down the project significantly. DocFusion, however, is a best-of-breed tool that integrates seamlessly with Salesforce.

DocFusion’s ability to scale and integrate with every part of Salesforce is transformative. It significantly speeds up the build process, which changes our approach to Salesforce projects. With DocFusion, we can take on entire sections of work that would have been challenging or time-consuming before. This has been enormously beneficial for us.

In addition, integrating DocFusion with tools like SigniFlow means we never have to disrupt the workflow. It provides far greater control over project management and execution. Previously, generating advanced documents required quite skilled developers. Now, with DocFusion, even admins can handle advanced and scalable document generation. This capability has streamlined our operations and empowered our teams to achieve more efficiently.

11.  Question: [Posed to DocFusion] What makes DocFusion different from your competitors, and how do you stand out? Can you share a bit about that?

Answer: The document generation space on the Salesforce AppExchange is crowded. At first glance, DocFusion might seem similar to other products—you select a Salesforce object, click a button, and your document is generated with all the needed customer info. But that’s just scratching the surface.

DocFusion stands out in how it gets you to that final document. It’s not just about producing the document but about the entire process of creating it. During our webinar, Ashley showed how our process is streamlined and efficient. Here’s what makes DocFusion unique:

Speed and simplicity: Our customers often tell us they can create and deploy templates about 70% faster with DocFusion than with other tools. This means less hassle and quicker setup.

Ease of maintenance: Once your document process is live, changes are inevitable. DocFusion allows business users to manage updates themselves, without heavy reliance on an IT team. This speeds up updates and empowers your team.

Tiaan from EXAH highlighted that many tools are just stopgaps—they handle document production in Salesforce but not much else. DocFusion, however, integrates deeply within Salesforce and extends its capabilities beyond, offering a seamless experience across various processes.

Additionally, DocFusion is built for enterprise-scale operations. We adhere to top-tier security, compliance, and governance standards, making our solution robust and reliable for large enterprises. But we’re also flexible, with product and pricing plans tailored to different industries and needs.

12. Question: Are there any training programs or certification courses available for DocFusion? What upcoming features or updates can we expect from DocFusion in the near future?

Answer: DocFusion offers training programs and certifications to help users get the most out of the platform. For upcoming features, we continuously update our roadmap to include enhancements like new integration options, improved user interface features, and advanced document automation capabilities.
